Booking Module User Guide

This guide explains how to use the Booking Module from start to finish, including creating, viewing, and editing bookings.


Creating a Booking

There are two ways a booking can be added:

  • Through AI Agents via SMS or Call
  • Manually Adding a Booking

How Booking is Made Automatically

  1. Lead Capture from Thumbtack

    • When a lead is captured from Thumbtack or added manually, the AI Assistant will automatically initiate a conversation with the client over SMS.
  2. Booking Process via SMS

    • The AI Assistant will gather all necessary details for the booking (customer information, service details, etc.) and create the booking in the system.
  3. Follow-up Voice Call

    • If the client doesn’t respond to the SMS, and you have enabled the voice call feature in settings, the AI Assistant will call the client.
    • The Voice Agent will then collect all required details and schedule the appointment in the system.

Manually Adding a Booking

  1. Access the Booking System

    • Log in to your account and navigate to the Bookings section from the main dashboard or menu.
  2. Create a New Booking

    • Click the Create New Booking button or link.
  3. Complete the Multi-Step Booking Form
    The booking form is divided into 6 steps with a progress bar:

    • Customer Information: Enter the customer’s first name, last name, email, phone number, and optionally, company name.
    • Address Information: Provide the service address (address lines, city, state, ZIP).
    • Service Details: Select the cleaning date, start time, service type, and assign a cleaner (the system shows available cleaners).
    • Property Details: Specify the property type, number of bedrooms and bathrooms, and square footage.
    • Add-ons: Choose any standard and custom add-on services as needed.
    • Review: Review all entered details and the total price before submitting.
  4. Submit the Booking

    • Once all details are filled in, click Submit to create the booking.
    • You will see a confirmation message, and the booking will be added to your bookings list.
    • An email with the invoice for payment will be sent to the client.
    • If the client does not pay within 2 hours, they will receive a reminder email prompting them to complete the payment.
    • If the payment is still not made after an additional hour, the booking will be automatically canceled to free up the slot.
